2. What data we collect and why

We collect only the personal data needed to respond to your enquiry, prepare a quote, process an order, and deliver and invoice a translation or interpreting service:

  • Contact details — name, email address, phone number — collected via our quote form, checkout, or direct email/phone contact. Legal basis: performance of a contract or steps taken at your request prior to entering a contract (Art. 6(1)(b) GDPR).
  • Postal address — collected only if you choose postal delivery of a hard copy, or an on-site interpreting booking. Legal basis: performance of a contract (Art. 6(1)(b) GDPR).
  • Order and document content — the documents you send us for translation, and details of the service ordered. Legal basis: performance of a contract (Art. 6(1)(b) GDPR).
  • Invoicing data — name, address, and payment-relevant details required for invoicing under German commercial and tax law. Legal basis: legal obligation (Art. 6(1)(c) GDPR).
  • Website usage data (analytics) — if you consent, we use Google Analytics 4 to understand how visitors use this site. This runs only after you actively accept analytics cookies in our cookie banner; if you decline or don't respond, no analytics script loads. Legal basis: consent (Art. 6(1)(a) GDPR), revocable at any time via "Cookie settings" in the footer.
  • Technical/functional data — your cart contents are stored in your browser's local storage (localStorage) so your selections persist between visits; this data stays on your device and is not transmitted to our servers until you place an order. Legal basis: legitimate interest in providing a functioning shopping cart (Art. 6(1)(f) GDPR) — this is a strictly necessary, non-consent-gated technical function.

3. Documents you send us

Documents submitted for translation are used solely to perform the requested service. They are stored only for as long as needed to complete your order, quality-check it, and handle any revision request within the 14-day revision window, plus any period required by statutory retention obligations (see below). After that, they are deleted from our active systems.

4. Recipients of your data

We share personal data only where necessary to deliver your order:

  • The individual translator (including any publicly appointed and sworn/authorised translator) or interpreter assigned to your order, bound by confidentiality.
  • A postal courier, if you choose hard-copy delivery.
  • IT service providers who host our systems, under a data-processing agreement.
  • Tax and accounting advisors, where required for invoicing and statutory bookkeeping.

We do not sell personal data, and we do not share it with third parties for their own marketing purposes.

5. International transfers

We do not transfer personal data outside the EU/EEA as a matter of course. Where a specific assignment requires sending documents to a translator located outside the EU/EEA, we ensure an appropriate safeguard is in place (e.g. EU Standard Contractual Clauses) before doing so.

6. Retention

  • Enquiry and quote-request data: deleted after 12 months if no order results.
  • Order, invoicing, and related correspondence: retained for 10 years, in line with German statutory retention obligations for commercial and tax documents (§147 Abgabenordnung, §257 Handelsgesetzbuch).
  • Documents submitted for translation: deleted from active systems once the order (including the 14-day revision window) is complete, save for any content that must be retained as part of invoicing records.
  • Analytics data: retained per Google Analytics 4's default retention settings, only for users who have consented; deleted immediately if consent is withdrawn.

8. Your rights

Under the GDPR, you have the right to: access the personal data we hold about you (Art. 15); have inaccurate data corrected (Art. 16); have your data deleted where applicable (Art. 17); restrict processing (Art. 18); receive your data in a portable format (Art. 20); and object to processing based on legitimate interest, including profiling (Art. 21). Where processing is based on consent, you may withdraw it at any time, without affecting the lawfulness of processing before withdrawal. You also have the right to lodge a complaint with a data protection supervisory authority; the competent authority for Schleswig-Holstein is the Unabhängiges Landeszentrum für Datenschutz Schleswig-Holstein (ULD).

9. Data security

We use appropriate technical and organisational measures to protect your data against unauthorised access, loss, or misuse, including encrypted transmission (HTTPS) across this site.

10. Changes to this policy

We may update this policy to reflect changes in our services or legal requirements. The version published on this page is always the current one.
